A production-house workspace that gets seven stakeholders to finally agree on what's being made.
On any given production, seven people are working off a different version of the script: director, producer, line producer, DOP, art director, costume head, and the client.
A walk through pre-production for one mid-size shoot surfaced:
The work itself was great. The agreement layer underneath it was held together with tape.
We spent ten days sitting through pre-pro meetings, calling out the points where "yes" really meant "maybe."
Three opportunities emerged:
The redesign centred the shoot day on a single board view — left rail of shots, central card for the current shot, right rail for decisions and changes. The board is the same view the director, producer and client see, with role-based filters changing only what's editable, never what's visible.
Approval requests now happen inside the artifact under review, not in a separate inbox. Everyone sees the same red pin, the same comment thread, the same green check at the end.
A small but loved detail: a printable "today's call sheet" that quietly compiles itself from the latest board state, so the production team stopped manually rebuilding it every night.
After three productions ran through the new flow:
The hardest part wasn't designing the board — it was getting the existing workflow to leave. People had years of muscle memory around screenshot approvals and WhatsApp follow-ups. The transition needed its own design: a one-week parallel period where both flows worked, daily nudges that re-routed users back to the board, and a single 30-minute walk-through with each role. The product was the easy half.
Ship the printable call-sheet earlier. We treated it as a nice-to-have until the second production, when it became the single feature that got the line producer on board. If I were starting again, that's the thing I'd lead with — the small artefact that earns a powerful champion in week one.
Tools for creative teams don't fail because of the design — they fail because of the politics. The best feature in this product wasn't a screen; it was a shared timestamp that made disputes about who agreed to what disappear.
Make the truth visible and most arguments stop being interesting.
